As our Sales Administrator, you would be responsible for supporting the sales team/management as well as organization and coordination of office operations, procedures, and resources to facilitate organizational effectiveness. Maintain systems and procedures for operating efficiency. Support team for optimum performance to help meet goals set by Sales Manager for the market.

Essential Duties and Responsibilities:

Under direction of Senior Sales Administrator and Sales Manager help demonstrate and implement the corporate culture to the support and sales team. Assist with the following duties which include but are not limited to:

- Supporting all sales reps by being their first point of contact when they have questions about admin aspects

  • Assist in putting contracts in – multiple locations (when applicable)
  • Assist with artwork needs until they are well versed
  • Assist in pulling reports as needed
  • Assist with all forms communicated via email/fax (not phone) during working hours
  • All calls from reps during working hours

- Training of new sales reps in the following areas:

  • Artwork and Production procedures
  • Product and Documentation procedures/workflow
  • Monthly deadlines and closing procedures

- Distributing reports weekly & monthly to the Sales Manager and Sales Reps

  • Weekly reporting to sales manager
  • Monthly reporting for 1:1’s
  • Daily reporting for Sales received

- Monitor all deadlines to ensure they are being met: sales, artwork, print, collections, commissions

  • Communicating with the reps daily
  • Communicating with the production staff as need for artwork workflow issues

- Paginate magazine monthly with input from Sales Manager and reps (this may be a shared effort with SM)

- Check all agreements and change forms for accuracy, client signature and upload in MagMan client files

- Assist manager with account transfers (90-day policy) and make sure they are placed in the new rep’s name

- Order office & sales supplies as needed

  • Monitor efficiencies of office supplies/equipment

- Assisting with staging magazine samples

- Coordinating company outings per Sales Manager (when applicable)

- Coordinating ticket giveaways per Sales Manager (when applicable)

- Assist with meeting based on manager’s direction (agenda – follow up notes)

- Represent SaveOn in a manner that is in line with the goals, decorum and core values set by the company


  • Bachelor's degree (B.A.) from four-year college or university; and/or (3) three to (5) five years related experience and/or training; or equivalent combination of education and experience
  • Excellent organizational skills
  • Ability to multi-task, prioritize and work efficiently
  • Ability to listen, communicate (written and verbal), excellent grammar, spelling and proof-reading skills and follow-up effectively with all staffing levels and clients/customers
  • Ability to work independently, self-starter, energetic
  • Ability to demonstrate good common sense and sound judgment
  • Flexibility to adapt to all situations
  • Ability to perform at high levels in a fast-paced ever-changing work environment
  • Ability to anticipate work needs and follow through with minimum direction
  • Ability to interact with all levels of management
  • Proficient in MS Office, Excel, and Word
